We are currently looking for an Office Administrator for a client in the construction industry, located in Edmonton, AB.  This Office Administrator will be responsible for some light reception duties, as well as assisting with some payroll and AR functions. The ideal candidate will have 3 or more years of administrative experience in the construction industry, be proficient with MS Office suite, and have strong communication and organizational skills.  This is a permanent position, with a 30 hour work week.


Tasks and Responsibilities:


  • Answering incoming phone calls and emails, relaying information
  • Receiving and sending of all incoming and outgoing mail and packages through couriers
  • Data entry and filing of project information
  • Tracking and submittal of employee hours to payroll department, completing job costing spreadsheets on a weekly basis
  • Account Receivable functions, such as receiving and applying payments, deposits and tracking of costs
  • Generating and distribution of customer invoices
  • Ordering of office supplies, and ensuring that photocopiers, printers etc have required supplies
  • Communicating with sub-trades where required
  • Pulling Permits with municipalities and coordinating inspections called in from sites
  • Other ad hoc duties, as required

    Skills and Qualifications:


  • 3+ years related administrative experience and proficiency in MS Office, including excel
  • A diploma in administration or related field would be an asset, but is not required
  • Strong oral and written communication skills, teamwork, organizational and analytical skills
  • Proactive and results focused, with the ability to work on multiple projects simultaneously
  • Experience with Accounts Receivable would be an asset
